Description
- Purpose: Premises Support officer manages the department in charge of ICRC premises and infrastructure within a sub-delegation
- Support officer replaces support officer during his/her absences and delivers in most essential routine tasks ensuring business continuity of Welcome services
Duties
- The incumbent performs the following activities within the department:
- Participate in determining accommodation and office space needs and identify suitable premises accordingly
- Understand and monitor the real estate market, including price trends and available opportunities
- Lead the negotiation of rental prices and lease terms in line with institutional guidelines
- Manage lease agreements, including preparation of agreements, contract extensions and renewals, payments, documentation, filing, and timely updating of the relevant systems
- Organize and coordinate the handover of premises, as well as check-in and check-out inventories for mobile staff
- Ensure accurate management of premises inventories, including furniture, assets, maintenance materials, and administrative stocks
- Coordinate and ensure the proper maintenance and upkeep of premises and infrastructure, including preventive maintenance activities
- Analyse the set-up of premises, including passive security measures, and propose corrective measures in coordination with the Security Department
- Coordinate and supervise maintenance work carried out by external contractors, ensuring quality and compliance with agreed timelines
- Manage relationships with landlords, real estate agencies, suppliers, and service providers, ensuring compliance with contractual and institutional requirements
- Supervise the ordering and procurement of materials and supplies, in coordination with Logistics, and ensure appropriate stock management
- Supervise and control budgets, expenses, and service costs related to premises and maintenance
- Act as the focal point for the implementation of the Electrical Safety Action Plan (ESAP) within the area of responsibility
- Lead and supervise the premises and infrastructure management team, including housekeepers and maintenance staff, ensuring effective work planning, task allocation, adequate equipment, and quality service delivery
- Contribute to the development and implementation of the Housing Policy, ensuring that it remains aligned with operational needs, market conditions, and institutional standards
- During the absence of the Welcome Officer, support staff movements and arrivals, including accommodation, airport transfers, travel arrangements, welcome information, briefings, and delegation tours
- Ensure appropriate representation of the organization during activities, meetings, and field visits, maintaining professional conduct and protecting the organization’s image
Requisites
- Degree or diploma in Business Administration, Management, or a related field
- Minimum of 3 years’ experience in administrative or support functions; prior NGO experience is an asset
- Good organizational and coordination skills
- Attention to detail and ability to manage documentation accurately
- Ability to handle cash and bank responsibly and transparently
- Proficiency in Microsoft Office tools
- Discretion, integrity, and ability to work independently
- Working knowledge of English required; other languages depending on context
