BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The Business Support Associate will also be responsible to facilitate smooth operations of the management front office. The incumbent will report directly to the Country Director and the Deputy Country Director.
KEY ACCOUNTABILITIES (not all-inclusive, within delegated authority):

Under the overall guidance and supervision of the Country Director, coordinate and oversee the overall planning of activities for the Country Director as required and assist the Country Director in the daily operations to reach operational objectives.

Respond to, review, or draft as appropriate, management reports and correspondence documents on behalf of the Country Director and bring matters that need decisions to his/her attention.

Ensure internal communication to staff from the Country Director is disseminated thoroughly and consistently in coordination with other colleagues as necessary, using socio-political insights to support WFP’s effective positioning.

Coordinate, review and/or prepare as appropriate high-quality strategic background documents, talking points, and briefs for the Country Director to ensure he/she has all the information required for all meetings and engagements.

Attend interagency, government and internal meetings with Country Director as required, ensuring consistency and clarity in the Note of the Records and coordinate follow-up actions as required.

Coordinate all functions of the Country Director’s front office managing other staff as necessary.

Ensure that requests, feedback and concerns from staff in matters related to the Country Director are dealt with in a professional, confidential and appropriate manner in line with Country Office and WFP policies and procedures.

Actively liaise with other relevant actors in the COs and HQ on a regular basis with regards to follow up on issues, priorities and decisions concerning management.

Maintain strong relationships with counterparts in other UN and (I)NGO agencies, to ensure smooth and strong relations, strategic information sharing, and coordination of meetings and joint missions if necessary.

Organize travel with Country Director and accompany him/her, when necessary.

Coordinate with Unit Heads and internal stakeholders for draft talking points and ensure timeliness, quality, and relevance to the subject and themes.

Contribute to building and executing the Country Director’s social media platforms, messaging, and audience identification.

Perform other related duties and assignments as and when required by the Country Director.

STANDARD MINIMUM ACADEMIC QUALIFICATIONS:
Education: A university degree (Bachelor or equivalent) in International Relations, Economics, Journalism, Communications, Social Sciences or other field relevant to international development assistance.
Experience: A minimum of six (6) years of relevant work experience in information management, data collection and events organization.
Language: Fluency in oral and written English and Portuguese language.
