Job Description
Facilities Operations
- Support daily facilities operations, including cleaning, maintenance, and general building upkeep.
- Coordinate with external service providers to ensure effective delivery of facilities-related services.
- Assist in identifying premises-related risks and support the preparation of Risk Assessments in compliance with legal and statutory requirements.
Inspections and Maintenance
- Carry out routine inspections of facilities to identify maintenance requirements, safety hazards, and compliance gaps.
- Report identified issues and follow up on corrective actions to ensure timely resolution.
- Maintain accurate inspection and maintenance records.
Health, Safety, and Compliance
- Assist in ensuring facilities comply with applicable health and safety legislation and internal policies.
- Support the implementation of health and safety initiatives and emergency procedures.
- Assist with incident reporting, investigations, and follow-up actions where required.
Asset and Space Management
- Support the annual fixed asset count and reconciliation against the fixed asset register.
- Assist with physical asset tagging and updating asset records.
- Support space utilisation planning, including office layouts, parking allocation, and workspace optimisation.
- Maintain accurate facilities, asset, and space management databases.
Stock and Supplies Management
- Monitor stock levels of stationery, kitchen supplies, and cleaning materials.
- Support cost-effective procurement practices, including bulk or scheduled ordering where appropriate.
Administrative and Financial Support
- Provide administrative and clerical support to the facilities team, including document control, filing, and record keeping.
- Assist with invoice processing, expense tracking, and supplier documentation.
- Support facilities budget monitoring and cost control activities.
Education
Further Education and Training Certificate (FETC): Business, Commerce and Management Studies (Required).
