Our Client is a prestigious company operating in the energy sector.

FUNCTION

Reporting directly to the Managing Director, the main activities of the function are to: ensure the premises are in good condition, coordinating repairs or maintenance; manage office services providers (security, cleaning, maintenance, water provider, power supplier, etc.); manage furniture and equipment inventory, addressing breakages or operational issues; ordering through the procurement team office supplies and equipment and maintaining proper stock levels (water, coffee, office consumables, cleaning products, etc…); schedule meeting rooms availability and manage calendars; ensure coordination with Tete office management when required; make the travel arrangements of all business trips: for the company CEO, with initiative and optimization (time and cost) and the rest of the company’s team, upon individual request with optimization (time and cost); complete travel requirements (visa, other requirements…); coordinate cars and drivers’ availabilities in collaboration with Logistic department; attend Maputo offices visitors; support visa processes in getting the right letters and documentation; respond to day-to-day administrative requests from the team; responsible for signature process of CEO/Project Director; update databases and maintain accurate records; contribute to events and forums organization (food supplier, venue reservation, overall logistics, etc.); management of VIP visits (external & internal) meetings, transportation, bookings, travel requirements, etc…; supervision and organization of the “welcome day” for newcomers.

Requisitos

  • Relevant Diploma Certification for the job;
  • Fluent in Portuguese, (written and spoken);
  • Good fluency in English, (written and spoken) is required;
  • Good knowledge of basic IT environment (mainly Microsoft softwares);
  • Good presentation and communication skills;
  • Capability to develop a network with the other executive assistants within our partners and important clients/authorities;
  • Flexibility/availability/Capability to handle several tasks and topics in parallel;
  • High sense of confidentiality;
  • Resistance to stressful situations;
  • Living in the local area of the job is an advantage.
