To provide a professional, welcoming, and efficient reception and executive support service, while progressively developing the capability to support business-facing activities, including pre sales and client interaction, following structured training.

The role serves as a key interface between the organization, its executives, clients, and stakeholders.

Responsabilidades
  • Reception & Client Services:
  • Professionally welcome and assist all visitors and callers, ensuring a positive first impression
  • Manage and route incoming calls accurately and efficiently
  • Build rapport with clients, partners, and internal stakeholders.
  • Executive & Board Support
  • Manage and coordinate the CEO’s and EXCO members’ diaries, meetings, and appointments
  • Schedule and coordinate Board and EXCO meetings, including logistics and documentation
  • Prepare meeting packs and take accurate minutes during meetings, ensuring follow-up on action items
  • Maintain well-organized electronic and physical filing systems
  • Handle sensitive and confidential information with discretion and professionalism.
  • Business Support & Pre-Sales
  • After appropriate training, provide basic pre-sales support, including handling initial client enquiries and directing leads appropriately
  • Develop a working understanding of the company’s products, services, and business model
  • Act as a knowledgeable first point of contact for general business enquiries.
Qualificações
  • 1–2 years’ experience in a receptionist, administrative, or executive support role
Habilidades e Experiência
  • Fluent and well spoken in Portuguese and English (verbal and written)
  • Strong communication and interpersonal skills
  • Excellent organizational and time-management abilities
  • Ability to work confidently with senior executives.
  • High levels of integrity, confidentiality, and professionalism
  • Quick and eager learner, able to grasp new systems, processes, and business concepts
  • Calm, composed, and service-oriented under pressure
  • Exposure to executive support, diary management, or client interaction is an advantage
  • Professional, articulate, and presentable
  • Comfortable interacting with executives and clients
  • Interested in learning the business and growing beyond a traditional receptionist role
  • Reliable, detail-oriented, and service driven.
