Summary of Position

The Sales and Key Accounts Coordinator is responsible for managing the sales of products and services, maintaining strong customer relationships, coordinating with internal departments, and providing administrative and operational support to management and employees.

Duties & Responsibilities

  • Manage and coordinate sales activities.
  • Provide after-sales support to customers.
  • Handle customer orders and prepare quotations.
  • Keep customers updated on relevant equipment, products, and services.
  • Create, review, coordinate, and maintain sales, revenue, and equipment utilization reports and records.
  • Process orders and local payment requests.
  • Coordinate shipments, documentation, and communication with clients and carriers.
  • Implement and monitor programmes as directed by Management.
  • Act as the primary focal point for assigned key accounts and maintain professional client relationships.
  • Coordinate client requests and ensure timely communication between clients and internal departments.
  • Track contractual obligations and service delivery requirements, ensuring compliance with agreed service levels.
  • Prepare commercial proposals, quotations, tenders, and supporting documentation.
  • Maintain and update customer databases, contract registers, and opportunity pipelines.
  • Monitor equipment utilization and identify opportunities to increase equipment deployment and revenue generation.
  • Support the Country Manager and Operations Team with monthly revenue forecasting and business development initiatives.
  • Coordinate mobilization and demobilization requirements for personnel, equipment, and project resources.
  • Follow up on outstanding quotations, purchase orders, invoices, and customer payments in coordination with the Finance Department.
  • Prepare weekly and monthly management reports covering sales performance, customer activity, revenue, and equipment utilization.
  • Coordinate client meetings, site visits, and operational reviews, ensuring action items are tracked and closed.
  • Maintain accurate records of customer correspondence, contracts, certifications, and project documentation.
  • Support client onboarding and ensure all required documentation is submitted, maintained, and updated.
  • Assist with prequalification, tender, and vendor registration documentation.
  • Liaise with HSSEQ, Operations, Finance, Human Resources, and Procurement departments to ensure seamless service delivery.
  • Identify client concerns, operational constraints, and growth opportunities and escalate them to Management where required.
  • Support customer satisfaction initiatives and gather client feedback to improve service delivery.
  • Assist in maintaining ISO management system requirements relevant to customer service, document control, and business processes.
  • Ensure confidentiality of commercial, contractual, operational, and client information.
  • Demonstrate commercial awareness and sound business acumen.
  • Apply strong stakeholder and relationship management skills when dealing with clients, suppliers, and colleagues.
  • Manage multiple priorities effectively and perform under pressure.
  • Utilize strong negotiation, communication, report-writing, and presentation skills.
  • Maintain a client-focused approach with a high level of accuracy and attention to detail.
  • Apply knowledge of procurement strategies and procurement processes where required.

Experience & Education Requirements

  • Bachelor’s degree with at least 3–5 years of experience in Marketing or Business Administration.
  • In-depth knowledge of sales and marketing techniques.
  • Excellent leadership and management skills.
  • Strong verbal and written communication skills in English and Portuguese.
  • Strong organizational, analytical, and problem-solving skills.
  • Ability to work with confidential documents.
  • Excellent sales and customer service skills.
  • Computer literacy and knowledge of industry trends and regulations.
