Heading is recruiting for its client, a Shipping Coordinator  (M/F) to be based in Maputo   . 

Key Responsibilities:

  • Manage the transportation and storage of equipment, materials, products, and goods, to enable constraint-free project execution .
  • Provide coordination and oversight of warehouses, terminals, overland (truck/rail) or marine (ship/barge) carriers to meet required service levels, protect product quality, ensuring safe, reliable logistics execution.
  • Coordinate and manage logistics services, contracts, and technical evaluations for upstream aviation, marine, shore base and ground transportation.
  • Possess a broad understanding of heavy haul transportation, lifting operations, waste management, materials quality control, and equipment preservation.
  • Collaborate with the Maputo-based Project Team and Supply Chain organization in support of the management of logistics, materials handling, storage, and preservation.
  • Provides day-to-day support to travellers to Mozambique (including Contractors), to ensure travellers abide by the travel process prescribed within the  Travel Services Guide.
  • Serve as an interface between the Logistics Advisor, Supply Chain Manager, Contractors, and the port in Nacala to ensure safe, efficient, and timely logistics execution.
  • Support the timely and efficient submission of Travel Request Forms within the OneLogistics app.
  • Collaboration with the Engineering, Procurement and Construction (EPC) contractors’ Logistics and Materials Management organization.
  • Foster a collaborative and positive working relationship with the contractor group.
  • Consistently apply logistics tools and best practices.
  • Single point of contact for travel request support.
  • Find aligned solutions within a challenging environment.
  • Operationalize logistics related deliverables to support project execution.
  • Continually assess the effectiveness of logistics programs then propose adjustments to ensure continuous improvement and attainment of desired results.
  • Advise on trend analysis to focus on targeted continuous improvement opportunities

Responsabilities: 

  • Track all equipment/material transiting through both Maputo and Nacala, then expedite equipment/material as required in support of the construction schedule.
  • Coordinate the importation and customs clearance of all shipments.
  • Ensure compliance with Mozambican trade regulations, and laws pertaining to importation and customs clearance.
  • Demonstrate an understanding of local transport, in-country logistics capabilities, and capacities.
  • Demonstrate Logistics and Materials Management expertise when interfacing with Contractor Logistics and Materials Management personnel.
  • Interface with project planning teams to identify optimization opportunities, and understand, then resolve logistics challenges.
  • Possess a general knowledge of local and national environmental and regulatory requirements.
  • Assist with the planning and execution of personnel travel into and throughout the country of Mozambique.
  • Ensure that travel requests submitted within the OneLogistics program are processed without delay.
  • Maintain open and frequent communication with the Maputo-based Visa Coordinator, to ensure travel requests are processed timely and remain constraint free.
  • Field incoming calls and emails, responding appropriately and timely.
  • Attend project planning and prioritization meetings.
  • Interface with and influence project disciplines to ensure logistics / materials management considerations are incorporated within both the design and project plan.
  • Monitor KPIs, and steward the development of material status reports.
  • Ensure that the EPC issues a weekly report showing the status of all PO’s issued to date, paying particular attention to ROS dates and Project Schedule.
  • Maintain an accounting of each shipment.
  • Possess a strong understanding of the capabilities and limitations of Logistics Contractors.
  • Support the process to pre-qualify, approve, and re-evaluate Logistics Contractors.
  • Interface with the Logistics Advisor to keep them informed of the qualifications and capabilities of relevant Contractors.
  • Interface with Contractors to ensure safety, quality, availability, and reliability of logistics execution.
  • Support the qualification and endorsement of Contractor equipment and services.
  • Verify that delivery documentation is complete, and in accordance with the P.O.
  • Ensure the EPC contractor complies with the P.O. and each item delivered is adequately marked for easy traceability.
  • Report all Overage, Shortage and Damaged (OS&D) materials to the PMT
