Our Client is a prestigious non-profit organisation which contributes to the sustainable socio-economic development of Cabo Delgado Province, is looking for:
FUNCTION
Reporting to the Programme Managers the Junior Programme Assistant will be responsible for support the day-to-day implementation and follow-up of assigned projects, maintaining clear trackers of activities, deadlines, deliverables, pending actions and responsible parties; follow up with implementing partners and relevant stakeholders on agreed actions, outstanding information, project deliverables and required documentation; prepare first drafts of project documents, concept notes, Scopes of Work/Terms of Reference, Memoranda of Understanding (MoUs)/Contracts/Performance Agreements, addenda and other contractual or implementation documents, based on approved templates and guidance from the Programme Manager; support the revision and consolidation of contractual and project documentation following comments from Programme, Finance, Legal and other relevant functions, ensuring version control and incorporation of agreed changes; draft routine official correspondence, letters, emails, meeting notes, briefing notes, internal memos and requests to partners and Government counterparts for review by the Programme Manager; Prepare first drafts of project progress reports, management updates, presentations and project summaries, consolidating information received from partners and internal teams; review partner reports and deliverables for completeness, consistency with the agreed scope of work, activities, timelines and expected results, and identify missing or unclear information for follow-up; support preparation and updating of project workplans, implementation schedules, results frameworks, activity trackers and milestone/deliverable trackers; organize and maintain complete electronic project files, including agreements and amendments, approved budgets, workplans, correspondence, reports, deliverables, meeting records, monitoring evidence and other relevant documentation; prepare agendas and documentation for project and partner meetings; take minutes; record decisions, responsibilities and deadlines; and systematically follow up on agreed actions; conduct targeted research and background analysis required for programme development and implementation, including Government policies and strategies, sector information, statistics, potential partners and comparable programmes; compile project information and supporting evidence required for internal reviews, audits, due diligence, evaluations and project closure, under the guidance of the Programme Manager, support the preparation of field missions, workshops and project activities, including schedules, background materials, participant information and follow-up documentation, in coordination with Administration/Operations where required; Flag delays, inconsistencies, missing documentation, contractual issues or other implementation concerns to the responsible Programme Manager for decision and follow-up, Undertake other specific programme-related assignments delegated by the Programme Managers, Head of Programmes or Director, within the scope of the position.
Requisitos
- Bachelor’s degree, or recently completed university degree, preferably in: Development Studies; Business Administration; Finance; Economics; International Relations; Public Policy or Public Administration; Social Sciences; Project Management; or another relevant field;
- A combination of relevant education and demonstrated practical experience may also be considered;
- Minimum of 2 years of progressively responsible experience in programme or project administration, operations, logistics, finance support or partner coordination, preferably in a foundation, development organisation, NGO, donor-funded programme or comparable environment;
- Demonstrated experience organising field activities, travel, workshops, meetings or community events and following actions through to closure;
- Experience drafting and reviewing supporting documentation, tracking budgets or expenditures, processing administrative or financial requests, and maintaining auditable records;
- Demonstrated research, writing and organizational ability;
- Willingness and ability to travel to programme locations when necessary, subject to applicable safety and security arrangements;
- Knowledge of the Mozambican operating context, particularly northern Mozambique, is an advantage;
- Strong working proficiency in written and spoken Portuguese and English;
- Strong Microsoft Word, Excel and PowerPoint skills;
- Ability to maintain structured trackers and project documentation;
- Ability to research and verify information from reliable sources;
- Familiarity with project management, monitoring or development programmes is an advantage;
- Mozambican nationality.
