Overview
The Procurement Assistant plays a key role in ensuring the smooth and efficient operation of the office and utilities. The individual in this role will be responsible for stock control, in-house maintenance, handling compliance-related tasks, and all the office utility management. In addition, the Procurement Assistant will coordinate essential services such as cleaning, security and gardening, ensure proper visitor management for Maputo office, and field offices. This position requires a proactive, organized, and detail-oriented individual who can work independently and contribute to the overall success of the office’s operations.
Responsibilities
- Stock Control: Responsible for overseeing the inventory and supplies of the office, ensuring adequate stock levels, and coordinating timely reordering of items.
- Utility Management: Oversee the offices utility bills, including electricity and water, and ensuring payments are made on time and records are kept
- Service Coordination: Manage and schedule services such as gardening and cleaning to ensure a clean and functional office environment.
- Visitor Management: Maintain control over visitors, ensuring proper sign-in procedures, guest access, and safety protocols are followed in the office.
- Supplier Support: Visit suppliers and collect goods and quotes, and supporting clearance and delivery procedures as well as liaison with suppliers for office requirements.
- Day to day Procurement: preparing procurement documentation, tracking orders, and following up on deliveries to ensure continuity of operation.
Requirements
- Education: A minimum of a degree or equivalent in Procurement or Logistics; or a related field.
- Experience: At least 1 year of relevant experience in procurement or office utility roles, preferably in an office or field environment. Experience in stock control and utility management is desirable.
Skills
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Good communication skills, both written and verbal, in Portuguese and English.
- Ability to manage multiple tasks and prioritize effectively.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
